Sub:-   DISPOSAL - Observance of File Disposal week by Government of A.P from 15.09.1997 to 21.09.1997 - Procedure to be adopted - Instructions Issued - Reg.

         The State Government is observing "File Disposal Week" in Government Offices from  15.09.1997 to 21.9.1997 with a view to dispose off the pending files of public importance and long pending files.  

        The Government desired to observe File Disposal Week in all Offices of the Corporation.  Therefore, all Unit  Officers are advised to observe "File Disposal Week" from 15.09.1997 to 21.09.1997 as per following guidelines.

1)    All the files have to be categorised into two types viz. (a) file connected with subject of public importance and (b) other files, and all the pending files are to be categorized based on duration of pendency as follows :

    a)    Less than 1 month.

    b)    More than 1month but less than 6 months.

    c)    More than six months less than one year

    d)    More than 1 year.

    2)    All the Unit Officers in the zone shall send the information with regard to number of files pending as on 12.09.1997 as per above categorisation to the concerned Executive Directors (Zone).  The Executive Directors (Zone) shall consolidate and send it to Head Office by 12.09.1997 by FAX/TELEX/MODEMS/TELE-PHONE.

    3)    The spirit of observance of the File Disposal week is to dispose the case in its entirety and shall be final.

    4)    This disposal shall include sending of disposal files to Record Room also.

    5)    Special and extra efforts have to be made to dispose off long pending files and files with subject of public importance.

    6)    The work turned out during the above week shall have to be monitored  by Dy.CPMs of Zones every day.  At the Corporate level it will be monitored by the Chief Personnel Manager.

    7)    All the Unit Officers in the Zone shall send every day the information with regard to progress made to the concerned Dy.CPM in the proforma enclosed.  In respect of Head Office Units the particulars of progress shall be sent to Dy.CPM (Admn) daily.

    8)    The Dy.CPMs of Zones shall flash the consolidated progress of File Disposal work in the entire Zone every day by 18.00 hours to the Head Office through Fax/Telex/Modem/Telephone  to the Chief Personnel Manager/Dy.CPM (IR & W) so as to enable the Corporate Office to furnish the information to Govt. of A.P.

        All the Officers are advised to follow the above instructions scrupulously.
